What an applicant tracking system actually does
An applicant tracking system is a database with a careers page attached. Employers use one because a single opening can draw hundreds of applications and someone has to keep them in order. Most of what is written about "beating the ATS" describes a machine that rejects people on sight. The real thing is duller, and understanding the dull version is what actually helps you get read.
Step one: the file is turned into text
When you upload a CV, the system first extracts plain text from it. A PDF with real, selectable text hands that text over cleanly. A PDF that is really a picture of a page — exported from a design tool as an image, or scanned — has to be run through optical character recognition, which is slower and less reliable, and some systems simply skip it. From that text the parser tries to identify fields: your name, email and phone, then blocks it can label as experience, education and skills. It does this by looking for familiar headings and familiar shapes — a job title, a company name, a date range. This is why unusual headings ("My Journey") and two-column layouts, where the text of the left column interleaves with the right when read in order, cause the most trouble. The parser is not being strict; it is guessing, and you want to make its guess easy.
Step two: the fields go into a database
The extracted fields land in a candidate record: name, contact details, a list of positions with dates, a list of qualifications, and the raw text. Most systems show the recruiter both the parsed record and the original file, so a parsing error is usually an inconvenience rather than a disqualification — but it is a real inconvenience. If your dates were not read, you may not appear in a search for "at least three years' experience"; if your phone number was in a text box the parser skipped, the recruiter has to open the file to find it. Many systems also ask you to confirm the parsed fields during the application, which is where you often see for yourself what the parser made of your layout. It is worth reading that screen carefully rather than clicking through.
Step three: a person searches
This is the step the myths get wrong. In most systems there is no automatic score that sends a CV to a bin. What happens is that a recruiter, faced with two hundred records, runs searches: a job title, a skill, a tool, a certification, a location, a years-of-experience range. Records that match come up; records that do not are not rejected, they are simply not looked at yet. Some systems do offer a "match" percentage against the job description, and some employers use knock-out questions in the application form ("Do you have the right to work in this country?"), but a numeric threshold that silently discards CVs is far less common than the internet suggests. The practical consequence is the same either way: the words the recruiter is likely to search for should be present, spelt the standard way, in real text.
What an ATS does not do
It does not read for quality. It does not know that "led" is stronger than "helped with". It does not penalise a two-page CV or reward a one-page one. It does not detect a career gap and flag it — a human might, when they read the dates. It does not, in the common case, rank you against other candidates and send the top ten to a hiring manager without a person being involved. And it does not care about design: a beautifully typeset CV and a plain one contain the same text to a parser. That last point cuts both ways. Design does not help you with the machine, but it does not have to hurt you either, as long as the design is built from real text in a single reading order.

Can I tell whether a company uses an ATS?
If you apply through a careers page with a form, an upload button and a confirmation screen showing your parsed details, that is one. Large and mid-sized employers almost always use some system; a small business asking for an email attachment usually reads the file directly.
Does the ATS check show my real score?
There is no real score, because most systems do not produce one. The panel is a checklist of things that commonly go wrong in parsing, plus a keyword comparison in Pro. Treat it as a proofreader, not a verdict.
Should I submit a Word file instead of a PDF?
If the employer asks for DOCX, send DOCX. Otherwise a text-based PDF with the font embedded is read reliably by modern systems and looks the same on every screen.
